Annual POLIS Conference 2025

The Annual POLIS Conference is Europe’s leading sustainable urban mobility event, providing an opportunity for cities and regions to showcase their transport achievements to a large audience of mobility experts, practitioners, and decision-makers from both the public and private sectors.


Registration fees 2025:

- POLIS Conference (excluding VAT):

  • Early bird rate (registration before 19 September 2025): EUR 370
  • Full rate: EUR 470
  • POLIS members: free of charge (up to 3 representatives per member)
  • Speakers, chairs: free of charge (1 speaker per presentation)
  • Media: free of charge (copy of press card or proof of the profession must be sent to acollignon@polisnetwork.eu)
  • Students (undergraduates only): EUR 95 (copy of student card must be sent to acollignon@polisnetwork.eu)

- Conference Dinner on 26 November 2025 (excluding VAT):

  • Participants: EUR 100
  • Speakers, chairs: EUR 100
  • POLIS members: free of charge (up to 3 representatives per member)
  • Media: EUR 100
  • Students: EUR 100


Registration & Payment:

Following your online registration, you will receive an automatic confirmation of registration. This is a confirmation that your registration has been received, but not that your participation is confirmed. 

We will review your registration and will get back to you:

- if you are entitled to attend the conference for free, you will receive a confirmation of registration from POLIS;

- if you need to pay to attend the conference, POLIS will provide you with a link to the online payment system, where you can pay either online or via bank transfer. All payments must be made in EUR, and any bank charges must be covered by the paying organisation. You will receive your confirmation of registration only once the payment is confirmed. Please note that entry to the conference venue will not be permitted if the conference fee is unpaid.

If you cancel your registration after 26 October 2025, you will not be refunded.

Registrations will close on 11 November 2025

Site visits The following site visits will be organised on Thursday 27 November at 14:15 (meeting point at 14:00) as part of the POLIS Conference:

Data: When submitting your registration, you agree that POLIS stores and processes your data in accordance to its privacy policy (see footer) and contacts you for updates related to the POLIS conference. Please note that some of your data will be shared with the City of Utrecht and OneTec for the invoices and the badges.

Participants list: A participants list with the names and organisations of all participants will be available upon request for registered participants.

Image rights: Images of this event will be registered through photographs and videos, for posterior use by the organizers in institutional communications, via publications or other media material produced, used, or contracted by the organizers, including but not limited to websites, social media, e-communications, brochures, posters, flyers, books, newspapers, magazines, television, etc. If you do NOT wish to be filmed or photographed, or to have your recorded or photographed image used or distributed, please inform us prior to the event, via email (to acollignon@polisnetwork.eu).
